1. Statement of intent
Rosetta Wellbeing is committed to providing a safe, welcoming and supportive environment for everyone who attends, delivers or comes into contact with our services.
We will take reasonable and proportionate steps to protect the health, safety and wellbeing of:

Visitors and members of the public who may be affected by our activities
Rosetta Wellbeing will:

Identify hazards connected with our services.

Assess and manage health and safety risks.

Provide activities within our qualifications and professional competence.

Use suitable venues, equipment and working practices.

Provide clear safety information to participants.
-
Respond appropriately to accidents, incidents and emergencies.

Review our safety arrangements when activities, venues or circumstances change.

Cooperate with venue managers, contractors and partner organisations.
-
Maintain appropriate professional and public liability insurance.
Health and safety arrangements will be proportionate to Rosetta Wellbeing’s size and the nature of its activities. HSE guidance recommends that a policy clearly states the organisation’s commitment, responsibilities and practical arrangements for managing health and safety.
2. Scope
This policy applies to activities delivered or organised by Rosetta Wellbeing, including:

Menopause education and lifestyle workshops

Group wellbeing programmes

One-to-one consultations

Community events

Workplace talks and workshops

Activities delivered in hired or partner venues

Administrative and home-based work connected with the organisation
The policy applies whether a service is paid, subsidised or provided without charge.
3. Responsibilities
The founder
Jacqueline Fenton-Collins has overall responsibility for health and safety within Rosetta Wellbeing.
Her responsibilities include:

Approving and reviewing this policy.

Completing or arranging suitable risk assessments.
-
Ensuring activities are delivered within professional competence.
-
Checking that appropriate insurance is maintained.
-
Considering participant and venue safety.
-
Recording and reviewing accidents, incidents and near misses.
-
Cooperating with venue owners and partner organisations.
-
Providing contractors with relevant safety information.
-
Taking reasonable action when a hazard or concern is identified.
-
Reporting legally reportable incidents where Rosetta Wellbeing is responsible for doing so.
Contractors and guest facilitators
Anyone delivering services on behalf of Rosetta Wellbeing is expected to:

Follow this policy and relevant risk assessments.

Work within their qualifications, experience and competence.
-
Maintain any required professional membership and insurance.
-
Report hazards, accidents, incidents and near misses promptly.
-
Use equipment safely.
-
Respect participant limitations and choices.
-
Follow venue emergency arrangements.
-
Avoid working while impaired by alcohol, drugs, illness or severe fatigue.

Cooperate with any review or investigation.
Participants
Participants are asked to:

Follow reasonable instructions provided by the teacher or facilitator.
-
Inform Rosetta Wellbeing of relevant injuries, health conditions, accessibility requirements or limitations where this may affect safe participation.

Work within their own comfortable range.
-
Stop an activity if they experience pain, dizziness, shortness of breath, faintness or unusual discomfort.
-
Use any equipment as instructed.
-
Avoid creating hazards for other participants.
-
Report accidents, hazards or concerns promptly.
-
Seek appropriate medical advice where they are unsure whether an activity is suitable for them.
Participants will not be pressured to perform a movement, posture, breathing practice or activity that they do not wish to undertake.
4. Yoga Pros membership and professional standards
Jacqueline Fenton-Collins is a member of Yoga Pros, formerly Yoga Alliance Professionals.
As part of this professional membership, she follows the applicable Yoga Pros Code of Practice and professional standards. These include commitments to:

Provide access to safe and effective yoga teaching.

Maintain an appropriate health and safety policy.
-
Deal appropriately with accidents and emergencies.
-
Maintain suitable records where an incident occurs.

Create a safe, clean and comfortable environment.
-
Recognise the limits of professional skills and scope of practice.

Respect participants’ dignity, privacy and individual needs.

Follow applicable national and local laws.
Yoga Pros membership supports Rosetta Wellbeing’s professional approach, but it does not replace Rosetta Wellbeing’s own responsibility to assess its activities, adopt suitable procedures and meet applicable legal duties.
The Yoga Pros Code specifically expects members to follow an employer’s health and safety policy or formulate and follow an appropriate policy of their own.
5. Risk assessment
Rosetta Wellbeing will identify foreseeable hazards connected with its work, assess who may be harmed and put reasonable controls in place.
Risk assessments may cover:

Participant illness or injury
Risk assessments will be reviewed when:

A new service or activity is introduced.

A different venue is used.
-
Equipment or working arrangements change.
-
An accident, incident or near miss occurs.
-
A new hazard is identified.
-
Relevant official guidance changes.
-
An existing control is found to be ineffective.
HSE describes risk assessment as identifying what could cause injury or illness, deciding how likely and serious the harm could be, and eliminating or controlling the risk.
6. Safe participation
Rosetta Wellbeing’s sessions are intended to be supportive and adaptable, but no physical activity is entirely free from risk.
Before or during a session, participants may be asked to share information that is reasonably necessary for safe participation, such as:

Mobility or balance difficulties

Pregnancy
-
Heart, respiratory or neurological conditions
-
Joint, bone or muscular conditions
-
Dizziness or fainting
-
Relevant accessibility requirements

Advice received from a healthcare professional
Health information will be handled in accordance with the Rosetta Wellbeing Privacy and Data Protection Policy.
Where appropriate, Rosetta Wellbeing may:

Suggest an adapted or chair-based option.
-
Recommend that a participant rests or stops.
-
Ask a participant to obtain medical guidance before taking part.
-
Decline to provide an activity where it cannot be delivered safely within Rosetta Wellbeing’s competence.

Recommend another appropriately qualified professional or service.
Rosetta Wellbeing does not diagnose medical conditions or provide treatment outside its qualifications and professional scope.
7. Yoga, movement and breathwork
Yoga, movement and breathwork sessions will be planned and delivered with consideration for the needs and abilities of the group.
Rosetta Wellbeing will:

Provide clear verbal instructions.

Encourage participants to work within a comfortable range.
-
Offer appropriate alternatives where reasonably possible.
-
Avoid encouraging participants to push through pain.
-
Allow rest whenever needed.
-
Provide chair-based options where appropriate.
-
Leave sufficient space for movement.
-
Consider room temperature, ventilation and flooring.
-
Check that equipment appears suitable before use.
-
Explain how to enter and leave positions safely.
-
Obtain consent before any physical guidance or adjustment.
-
Avoid teaching techniques outside the teacher’s qualifications or competence.
-
Modify or stop an activity if an unexpected risk arises.
Breathing practices will be introduced gradually. Participants will be encouraged to return to normal breathing and stop the practice if they feel dizzy, anxious, unwell or uncomfortable.
8. Workshops and seated activities
For educational workshops and seated practices, Rosetta Wellbeing will consider:

Participants will not be required to disclose personal health experiences publicly. Anyone who becomes distressed will be treated respectfully and, where appropriate, directed towards suitable professional or emergency support.
9. Venues
Before delivering an in-person activity, Rosetta Wellbeing will take reasonable steps to confirm that the venue is suitable.
Checks may include:

Fire exits and emergency arrangements

Floor condition
-
Lighting and ventilation
-
Heating and room temperature
-
Toilets and welfare facilities
-
Accessibility
-
Available space and safe room capacity

First-aid arrangements

Venue-specific hazards
Where Rosetta Wellbeing hires or uses premises controlled by another organisation, health and safety responsibilities may be shared. Rosetta Wellbeing will cooperate with the venue’s responsible person and follow relevant venue procedures.
Participants will be informed of important emergency or venue-specific information at the beginning of a session where appropriate.
10. Fire safety and emergencies
Rosetta Wellbeing will familiarise itself with the fire and emergency arrangements of each venue used.
This may include:

The location of emergency exits.
-
The venue’s alarm procedure.
-
The designated assembly point.
-
Evacuation arrangements.
-
The location of fire-fighting equipment.
-
Arrangements for people who may need assistance.
-
How emergency services will be contacted.
-
Who is responsible for checking the premises.
Escape routes must be kept clear during Rosetta Wellbeing activities.
For hired or shared premises, Rosetta Wellbeing will cooperate with the owner, manager or other person responsible for fire safety. Government guidance requires people with control of non-domestic premises to assess fire risks, maintain suitable precautions and plan for emergencies.
11. First aid and medical emergencies
Rosetta Wellbeing will consider the first-aid needs of each activity and venue.
Reasonable arrangements may include:

Knowing the location of the venue’s first-aid kit.
-
Knowing who the venue’s appointed first-aid contact is.
-
Having access to a telephone.
-
Knowing the venue’s address and access details for emergency services.
-
Recording accidents and first-aid assistance.
-
Calling emergency services when required.
-
Ensuring that first-aid supplies are appropriate and in date where Rosetta Wellbeing provides them.
In a medical emergency:

The activity will be stopped.
-
The area will be made as safe as reasonably possible.
-
999 will be called where urgent medical assistance is required.
-
First aid will be provided only within the responder’s competence.
-
The person’s privacy and dignity will be respected.
-
The incident will be recorded and reviewed.
Although first-aid law primarily concerns workers, HSE recommends considering members of the public when assessing first-aid needs.
12. Accidents, incidents and near misses
Accidents, injuries, emergencies and significant near misses connected with Rosetta Wellbeing activities will be recorded and reviewed.
Records may include:

A factual description of what happened

Any injury or illness reported
-
Immediate action taken
-
First aid or emergency assistance provided

Witness information where relevant

Contributing hazards
-
Corrective or preventative action
Personal information will be kept securely and only shared where necessary and lawful.
Where an incident meets the legal reporting criteria, it will be reported under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations by the person or organisation responsible for making the report. Not every accident is reportable under RIDDOR; responsibility may rest with the employer, a self-employed duty holder or the person controlling the premises, depending on the circumstances.
13. Equipment and room layout
Rosetta Wellbeing will take reasonable steps to ensure that equipment it provides is:

Suitable for its intended use.

Visually checked before use.
-
Clean and appropriately stored.
-
Removed from use if damaged or unsafe.
-
Positioned so it does not obstruct walkways or emergency exits.
-
Used according to relevant instructions.
Participants using their own mats, chairs, blocks or other equipment are responsible for checking that these are suitable and in safe condition.
Furniture and equipment will be positioned to provide adequate room for participants to move safely.
14. Cleanliness and infection control
Rosetta Wellbeing will promote reasonable standards of cleanliness and hygiene.
Measures may include:

Keeping shared equipment clean.

Encouraging hand hygiene.
-
Providing or using suitable cleaning materials.
-
Ventilating rooms where reasonably possible.
-
Avoiding attendance or delivery where someone has a contagious illness that could present a significant risk to others.

Following venue-specific infection-control procedures.
-
Reviewing arrangements in response to public-health guidance where necessary.
15. Accessibility and reasonable adjustments
Rosetta Wellbeing aims to make its services accessible and will consider reasonable adjustments for disabled participants.
These may include:

Chair-based or adapted movement.
-
Additional verbal explanation.
-
Assistance with forms or written information.
-
Allowing additional time.
-
Adjusting room layout.
-
Providing rest breaks.
-
Allowing a support person to attend where appropriate.
-
Considering sensory, visual or communication needs.

Providing an online option where available.
Health and safety will not be used as a reason to exclude someone without first considering the individual circumstances and whether a reasonable adjustment could manage the risk.
16. Online sessions
Participants joining online yoga, movement or breathwork sessions are responsible for choosing a suitable space in which to participate.
Before starting, participants should:

Clear the area of furniture, cables, pets and other trip hazards.

Use a stable chair where chair-based movement is offered.
-
Check that the floor and any equipment are suitable.
-
Position their device safely.
-
Ensure they have enough room to move.
-
Keep a telephone nearby where appropriate.
-
Work within their own comfortable range.
-
Stop if they feel pain, dizziness or illness.
Rosetta Wellbeing will provide clear instructions and adaptations where reasonably possible, but the teacher may not be able to see every part of a participant’s environment or movement through the screen.
Where Rosetta Wellbeing believes that someone cannot participate safely, the participant may be asked to stop or choose a different option.
17. Lone working and personal safety
Where Jacqueline or a contractor works alone, Rosetta Wellbeing will consider risks such as:

Travelling to unfamiliar locations.

Working outside normal hours.
-
Meeting someone one-to-one.
-
Limited access to assistance.
-
Personal security.
-
Medical emergencies.
-
Communication failure.
Reasonable controls may include confirming appointment details, keeping a charged telephone available, informing an appropriate contact of working arrangements and avoiding or ending a situation that feels unsafe.
HSE advises that lone-working risks should be assessed and managed, including for self-employed contractors.
18. Contractors, partners and workplaces
Rosetta Wellbeing will provide contractors and guest facilitators with relevant information about:

Known hazards.
-
Participant needs where it is lawful and necessary to share them.

Venue and emergency arrangements.
-
Accident and incident reporting.
-
Professional boundaries.
-
Relevant Rosetta Wellbeing policies.
When working within another organisation, Rosetta Wellbeing will cooperate with the client’s health and safety procedures while retaining responsibility for delivering its own services safely.
19. Raising a health and safety concern
Participants, contractors, partners and members of the public are encouraged to report hazards or health and safety concerns promptly.
