Equality, Diversity, Inclusion and Equal
Opportunities Policy

1. Our commitment

Rosetta Wellbeing is committed to providing welcoming, respectful and accessible wellbeing services.


We value equality, diversity and inclusion and aim to ensure that participants, customers, contractors, partners and members of the public are treated fairly, with dignity and respect.


We will not unlawfully discriminate when providing:

  • Menopause education and wellbeing workshops

  • Menopause yoga and gentle movement sessions

  • Breathwork, relaxation and nervous-system support

  • Group programmes and online courses

  • One-to-one consultations

  • Workplace menopause support

  • Community wellbeing activities

  • Website, booking and customer-support services

We will take reasonable and proportionate steps to identify and reduce barriers that may prevent people from accessing or participating in our services.

2. Purpose of this policy

This policy explains how Rosetta Wellbeing will:​

  • Promote equality and inclusion

  • Prevent unlawful discrimination, harassment and victimisation

  • Provide fair access to services

  • Consider reasonable adjustments

  • Respond to concerns or complaints

  • Review and improve its practices

This policy supports our responsibilities under the Equality Act 2010 and forms part of Rosetta Wellbeing’s Quality Assurance framework.

3. Who this policy applies to

This policy applies to:

  • The founder of Rosetta Wellbeing

  • Employees, should any be appointed

  • Freelancers and outsourced contractors

  • Volunteers, should any be engaged

  • Participants and customers

  • Workplace and community clients

  • Referral and commissioning organisations

  • Delivery partners and venues

  • Suppliers and professional advisers

  • Website visitors and people making enquiries


Anyone delivering work on behalf of Rosetta Wellbeing is expected to follow this policy.

4. Legal framework

Rosetta Wellbeing will comply with applicable UK equality legislation, including the Equality Act 2010.


The Act identifies nine protected characteristics:

  • Age

  • Disability

  • Gender reassignment

  • Marriage and civil partnership

  • Pregnancy and maternity

  • Race, including colour, nationality and ethnic or national origin

  • Religion or belief, including lack of religion or belief

  • Sex

  • Sexual orientation


The way these protections apply can vary according to the context, including service provision and working relationships. The nine protected characteristics are set out in the Equality Act 2010.


Rosetta Wellbeing will also consider relevant guidance issued by the Equality and Human Rights Commission and the UK Government.

5. Forms of unacceptable conduct

Rosetta Wellbeing will not tolerate unlawful:


Direct discrimination

Treating someone less favourably because of a protected characteristic.


Indirect discrimination
Applying a rule, practice or requirement to everyone that places people sharing a protected characteristic at a particular disadvantage and cannot be objectively justified.


Harassment
Unwanted conduct related to a protected characteristic that violates someone’s dignity or creates an intimidating, hostile, degrading, humiliating or offensive environment.


Sexual harassment
Unwanted conduct of a sexual nature that has the purpose or effect of violating someone’s dignity or creating an intimidating, hostile, degrading, humiliating or offensive environment.


Victimisation
Treating someone unfavourably because they raised an equality concern, supported another person’s complaint or exercised rights under equality legislation.


Discrimination arising from disability
Treating a disabled person unfavourably because of something connected with their disability where the treatment cannot be objectively justified.


Failure to make reasonable adjustments
Failing to take reasonable steps to prevent a disabled person from experiencing a
substantial disadvantage when accessing a service.

6. Fair and inclusive access to services

Rosetta Wellbeing aims to provide services fairly and consistently.


We will:

  • Use respectful and inclusive communication

  • Avoid making assumptions about someone’s identity, background, health or abilities

  • Explain eligibility requirements clearly

  • Ensure booking and cancellation arrangements are applied fairly

  • Consider accessibility when selecting venues and delivery methods

  • Provide online or alternative participation options where appropriate and available

  • Offer chair-based or adapted movement options where appropriate

  • Respect cultural, religious and personal differences

  • Protect the privacy of participants

  • Take concerns about discrimination seriously

No one will be refused a service for an unlawful discriminatory reason.


Health, safety, professional competence and the suitability of a service may be considered when deciding whether Rosetta Wellbeing can safely meet an individual’s needs. Any such decision will be based on relevant information rather than assumptions.

7. Menopause-focused and targeted services

Rosetta Wellbeing’s principal purpose is to support women through perimenopause, menopause and post-menopause.


We recognise that people experiencing menopause may have different identities,
backgrounds and circumstances. Enquiries will be handled respectfully, sensitively and without unnecessary intrusion.


Some services may be designed for a particular group where doing so is lawful and helps meet a specific need. Where Rosetta Wellbeing provides a targeted, separate or single-sex service, we will:

 

  • Consider the purpose and needs addressed by the service

  • Ensure that any restriction is lawful and proportionate

  • Record the reason for the decision

  • Review the arrangement when services or circumstances change

  • Communicate eligibility clearly and respectfully

  • Protect the privacy and dignity of everyone involved

  • Consider whether another suitable service or participation option can be offered


The Equality Act permits separate or single-sex services in certain circumstances, provided the relevant legal conditions are met.

8. Disability and reasonable adjustments

Rosetta Wellbeing recognises that disabilities may be physical, sensory, cognitive, neurological or related to mental health, and that some disabilities may not be immediately visible.


Service providers must consider accessibility in advance rather than waiting until a disabled person experiences difficulty.


Where reasonable and relevant to the service, adjustments may include:

 

  • Providing information in a clearer or alternative format

  • Reading information aloud

  • Using clear verbal descriptions and instructions

  • Allowing additional time to process information

  • Repeating or clarifying instructions

  • Offering chair-based or adapted movement

  • Allowing appropriate rest breaks

  • Making reasonable changes to session layout

  • Supporting attendance with a companion or support person

  • Providing an online option where available

  • Helping someone complete a booking or registration

  • Considering lighting, noise or sensory requirements

  • Selecting an accessible venue where reasonably practicable


People are encouraged to contact Rosetta Wellbeing before attending where they require an adjustment.


We will discuss the request privately and only collect information reasonably necessary to understand and respond to it.


We may consider:

 

  • Whether the adjustment would remove or reduce the disadvantage

  • The nature of the service

  • Practical feasibility

  • Health and safety

  • Available resources

  • The effect on other participants

  • Whether another effective adjustment is available


Where we cannot provide the requested adjustment, we will explain why and try to identify a reasonable alternative. We will not charge a disabled participant for an adjustment that Rosetta Wellbeing is legally required to provide.

9. Accessible communication

Rosetta Wellbeing will aim to make communications clear and understandable.


This may include:

 

  • Plain-English wording

  • Clearly structured website pages

  • Readable font sizes and contrast

  • Descriptive headings

  • Alternative ways to make enquiries

  • Verbal explanations where appropriate

  • Accessible electronic documents where reasonably possible

  • Captions or transcripts for selected content where available

 

Anyone experiencing difficulty accessing information may contact us to request an alternative format or reasonable assistance.

10. Marketing and representation

Rosetta Wellbeing aims to represent people respectfully in its marketing and
communications.


We will:

  • Avoid discriminatory, degrading or stereotypical language

  • Use inclusive and respectful imagery

  • Seek appropriate permission before using photographs, recordings, testimonials or case studies

  • Avoid presenting one person’s menopause experience as universal

  • Consider diversity in age, race, disability, body type, background and life experience

  • Clearly describe who a service has been designed for

  • Avoid making misleading claims about health outcomes


Feedback about the inclusivity or accessibility of our communications is welcomed.

11. Working with contractors and partners

Anyone working on behalf of Rosetta Wellbeing must:

 

  • Treat people fairly and respectfully

  • Follow this policy

  • Maintain appropriate professional boundaries

  • Protect confidential information

  • Report discriminatory conduct or accessibility concerns

  • Avoid harassment, bullying and victimisation

  • Consider reasonable adjustments within their area of responsibility


Rosetta Wellbeing may end or reconsider a working relationship where a contractor, supplier, venue or partner engages in serious or repeated discriminatory conduct.


Where possible, we will work with venues and partners that share our commitment to equality, accessibility and respectful treatment.

12. Recruitment and outsourced work

Where Rosetta Wellbeing recruits employees, contractors or volunteers, decisions will be based on relevant:

 

  • Skills

  • Qualifications

  • Professional experience

  • Conduct

  • Availability

  • Ability to perform the work safely and effectively

 

Opportunities will not be unlawfully restricted because of a protected characteristic.

Reasonable adjustments will be considered during recruitment and while carrying out work. Personal information relating to disability, health or adjustments will be handled confidentially and in accordance with our Privacy and Data Protection Policy.

13. Raising an equality or accessibility concern

Anyone who believes they have experienced discrimination, harassment, exclusion, unfair treatment or an accessibility barrier may contact Rosetta Wellbeing.

Please include, where possible:

 

  • Your name and preferred contact details

  • What happened

  • When and where it happened

  • The service or person involved

  • What outcome or support you are seeking

  • Any accessibility needs relating to the complaint process


Anonymous concerns may be considered, although limited information may make a full investigation difficult.
 

Alternative assistance will be considered where someone cannot easily submit a written concern.

14. How concerns will be handled

Rosetta Wellbeing will:

 

  1. Acknowledge the concern, normally within five working days.

  2. Consider whether immediate action is needed to protect anyone’s safety o wellbeing.

  3. Review the information fairly and confidentially.

  4. Give relevant people an appropriate opportunity to respond.

  5. Keep an appropriate record of the concern and actions taken.

  6. Aim to provide an outcome within 20 working days, where reasonably  possible.

  7. Explain any delay and provide an updated timescale.

  8. Identify corrective or preventative action where appropriate.


Possible actions may include:

 

  • An explanation or apology

  • Correcting inaccurate information

  • Providing or reviewing a reasonable adjustment

  • Changing a practice or communication

  • Additional guidance or training

  • Addressing conduct by a contractor or partner

  • Referring the matter to an appropriate authority

  • Reviewing the relevant service or policy


Information will only be shared with people who reasonably need it to consider or resolve the concern.


No person will be treated unfavourably for raising a genuine concern or supporting another person’s complaint.

15. Requesting a review

Where someone is dissatisfied with the outcome, they may request a review within 10 working days of receiving the response.


The request should explain:

  • Why they believe the outcome should be reconsidered

  • Any relevant information that was not previously considered

  • What resolution they are seeking


Where reasonably possible, the review will consider whether the policy and procedure were followed and whether the outcome was fair and proportionate.

This process does not remove anyone’s right to seek independent advice or use any external legal or regulatory complaint route available to them.

16. Confidentiality and record keeping

Equality concerns, accessibility requests and complaints will be handled as confidentially as reasonably possible.


Rosetta Wellbeing will:

  • Collect only information needed to address the matter

  • access to relevant people

  • Store records securely

  • Avoid unnecessary disclosure

  • Retain records according to the Privacy and Data Protection Policy

  • Share information without consent only where there is a lawful or compelling safety reason


Equality-monitoring information, where collected, will normally be voluntary and used to understand and improve services.

17. Responsibilities

The founder
Jacqueline Fenton-Collins is responsible for:

 

  • Approving this policy

  • Promoting inclusive practice

  • Considering reasonable-adjustment requests

  • Responding to equality concerns

  • Ensuring contractors understand their responsibilities

  • Reviewing relevant risks, practices and feedback

  • Keeping the policy current


Contractors and service partners
Contractors and partners are responsible for:

  • Reading and following this policy

  • Treating people with dignity and respect

  • Reporting concerns

  • Cooperating with investigations

  • Supporting agreed reasonable adjustments

  • Maintaining professional conduct

 

Participants and customers
Participants and customers are expected to:

 

  • Treat others respectfully

  • Follow reasonable safety and conduct requirements

  • Avoid discriminatory, harassing or abusive behaviour

  • Inform Rosetta Wellbeing of relevant accessibility needs where comfortable doing so

  • Raise concerns promptly where possible

 

Serious or repeated discriminatory, threatening or abusive behaviour may result in removal from a session or refusal of further service, subject to fair consideration of the circumstances and any relevant disability-related needs.

18. Monitoring and improvement

Rosetta Wellbeing will review:

 

  • Equality and accessibility feedback

  • Complaints and concerns

  • Reasonable-adjustment requests

  • Barriers identified during service delivery

  • Venue accessibility

  • Website and communication accessibility

  • Changes to services or legal guidance

Where useful, information may be reviewed in an anonymised form to identify patterns and improvements.

19. Policy review

This policy will be reviewed:

 

  • At least once every 12 months

  • When services materially change

  • Following a significant equality or accessibility concern

  • When relevant legislation or official guidance changes

  • When monitoring identifies a need for improvement


The latest approved version will be published on the Rosetta Wellbeing website.
